- Run of show and onsite management
Registration & Check-In
Multi-station check-in built to absorb the peak arrival window, with staff assigned by guest-list segment and a dedicated lane for honorees, sponsors, and VIPs.
Seating & Guest Flow
A seating chart maintained as the single source of truth through the final week, paired with a floor plan and signage strategy that moved guests from reception into dinner without a bottleneck.
Honoree & Award Management
Awards inventoried, staged, and sequenced backstage, with a dedicated honoree host managing arrivals, staging order, and post-presentation photography.
Honoree Coordination
Recipients found, staged, and recognized on cue
Award recipients were tracked from arrival, lined up in program order, walked to the stage, and grouped for photography — the part of an awards program that fails quietly when nobody owns it.
Execution Detail
Vendor Coordination
Call times, load-in windows, and service cues issued to AV, catering, entertainment, and venue leadership, then held to schedule onsite.
Run of Show & Timeline Support
A minute-level cue sheet distributed to every vendor and stakeholder, managed live from the floor so the program could start and finish on time.
Onsite Management
Raven's Reserve staff on site from load-in through load-out, owning decisions in real time so the host organization could remain with its guests.
Navigating the Unexpected
Challenge
Managing High-Volume Registration & Guest Flow — With a large guest count and multiple honorees, plus-ones, table assignments, and check-in requirements, registration had the potential to become a major bottleneck.
Solution
Raven's Reserve implemented a structured check-in system with alphabetized lines, honoree identification, table assignments, and dedicated staff roles, helping create a smoother-than-expected arrival experience.
Challenge
Unplanned Schedule Change Involving Honorees — During the event, award recipients were unexpectedly redirected for a photo opportunity with the Lieutenant Governor, disrupting the planned timeline and creating confusion around honoree movement.
Solution
Raven's Reserve adapted the flow in real time, helped organize honorees, managed movement between activities, and worked around the schedule change while keeping the event progressing.
Results
Program started on schedule
No seating reassignments during service
Awards program completed within the scheduled run time
